Report on the Inaugural Parent-Teacher Meeting at Harsha Institute of Technology

The first Parent-Teacher Meeting at the Harsha Institute of Technology was successfully conducted on 29 November, marking an important step in fostering collaboration between the institute and the parents of its students.

The presentation delivered covered a comprehensive range of academic, administrative, and conduct-related aspects essential for the students’ successful tenure at the institute.

 Academic and Faculty Overview

The presentation began by showcasing the faculties and their expertise in their respective subjects. This segment highlighted the achievements of the teaching staff, assuring parents of the high quality of instruction available.

Rules and Policies

A significant portion of the presentation was dedicated to outlining the essential regulations governing student life:

• Dress Code: Detailed guidelines on the required attire for students on campus.
• Attendance: The institute’s mandatory requirements and policy regarding student presence in classes.
• Internal Assessments: Explanation of the structure, frequency, and weightage of internal examinations and evaluations.
• Leave Application: The formal procedure and necessity for submitting applications for absence from the institute.
• Anti-Ragging Policy: A strict and clear outline of the institute’s zero-tolerance stance and severe penalties regarding ragging.
• Mobile Phone Usage: Specific rules regulating the use of mobile devices within the campus premises.
• Outgoing Book: The formal registration and sign-out process required for students leaving the campus, especially for those residing in the hostel.
• Vacation: Information regarding the schedule and duration of academic breaks.

 

Student Welfare and Conduct

This section focused on ensuring a safe and supportive environment for all students:

• Student Support System: An overview of the available mechanisms and resources to assist students with academic, personal, or emotional challenges.
• Substance Abuse: The institute’s strict policy against the use, possession, or distribution of illicit substances.
• Campus Behavior: Expected decorum, discipline, and conduct while inside the institute premises.
• Out of Campus Behavior: The institute’s expectations regarding the responsible and respectable conduct of students even when outside the campus.

 

Administrative and Facility Details

Practical and logistical matters were also addressed:

• Fee Payments: Details concerning the due dates, methods, and structure of fee submission.
• Recreational Activities: Information on the available sports, clubs, and extracurricular facilities and programs.
• Hostel Rules: Comprehensive regulations governing the conduct and living arrangements for students residing in the institute’s hostel.
• Canteen Rules: Guidelines for the usage and expected behavior within the campus canteen/dining facilities.

 

 Feedback and Interaction

Prior to a short intermission, parents were provided with a feedback form designed to elicit their initial impressions and suggestions regarding the institute’s policies and infrastructure.

The proceedings then transitioned into the second phase following a short refreshment break, during which attendees were served tea and snacks.

 Individual Mentorship Sessions

The core of the PTM involved one-on-one sessions between the parents and their child’s assigned mentor. Each mentor escorted the parents to a designated classroom for a private discussion.

During these personalized sessions, the mentors provided an in-depth assessment of their respective mentee’s performance, focusing on:

• Academic Details and Progress: A thorough discussion was held regarding the student’s scholastic performance and areas for development.
• Progress Report Handover: A duly filled progress report was formally presented to the parents. Parents were requested to acknowledge its receipt and provide any pertinent comments or observations before submitting the signed document back to the mentor.

Following the mentorship sessions, parents were also afforded the opportunity to interact directly with other subject teachers to gain a holistic perspective on their ward’s academic standing across various disciplines.

 Conclusion

The formal proceedings concluded with a communal lunch served in the mess hall, attended by both parents and students, providing an informal setting for further interaction.

The meeting served as an effective platform for transparent communication and the establishment of a robust support system for the students’ educational journey at Harsha Institute of Technology.
